Job Description

The Role:

To assist in the overall objectives of the Procurement function, and the delivery of an effective and efficient service.

• Support the Supplier and Governance Lead with any Group activities.

• Work collaboratively with the Procurement team to ensure a ‘One Procurement Team’ approach.

• Provide proactive, responsive procurement advice and support to business partners.

• Prepare for and attend partnership meetings, ensuring our business partners feel supported and understand the roles each party to the procurement process has to play.

• Comply with the procurement strategy, all policies, procedures and service level agreements relating to Procurement

• Contribute to the monthly report as requested by the Supplier and Governance Lead.

• Undertake spend analysis on behalf of the Procurement Team, providing meaningful and analysed data.

• Analyse supplier and market data to support the Procurement Team in preparing sourcing strategies.

• Support the Supplier and Governance Lead in the annual segmentation of suppliers.

• Adhere to the due diligence policy and assess suppliers in accordance with the supplier management framework.

• Support the Supplier and Governance Lead in supplier and supply chain audits, and ensure appropriate recording of data.

• Support the business in the management of suppliers against the supplier management framework, ensuring appropriate compliance with schedules, scope, service levels and KPIs.

• Monitor the supplier base and establish a plan for supplier rationalisation, then lead on this rationalisation process.

• Monitor and report on all procurement activity including spend against contract compliance.

• Where requested, attend face to face engagement with suppliers, either through contract review meetings, supplier relationship management engagement, or annual development days or events.

• Manage the day to day administration of an eProcurement system, including the addition and deletion of users, updating of templates, management of the contract register, and training.

• Monitor the Procurement team through the collation and presentation of KPIs.

• Manage and monitor the Ebis system, including the updating of catalogues.

• Update all relevant systems and documentation on a weekly basis to ensure all trackers are up to date.

• Create a suite of Procurement reports and run reports on an agreed frequency.

• Undertake specific one-off projects as requested.

• Ensure compliance with all related legislation.

The Person:

• Educated to A level or equivalent as a minimum, ideally of graduate calibre.

• Ability to build relationships with those involved in procurement projects.

• Understanding of negotiation and influencing skills and how they support procurement activities.

• Awareness and understanding of the legislation that impacts procurement.

• Ability to use a wide range of IT systems, with an excellent knowledge of Microsoft Excel.

• Awareness of the project management tools that may support procurement.

• Understanding of the broad objectives necessary to achieve effective procurement and value for money, with some knowledge of contract buying, supplier management and tender procedures highly advantageous.

• Professional, team orientated approach and committed to continuous improvement.

• Good interpersonal skills, with the ability to communicate in writing, orally or via presentation and be able to champion the vision of the organisation and to communicate this effectively.

• Capable of assimilating and interpreting a wide range of information and presenting this back to colleagues and management.

• Capable of developing and promoting good working relationships across the Group and with other purchasing teams.

• Able to work with limited supervision and work under pressure.

• Able to prioritise work in order to meet deadlines and effective time management skills.
