Information for candidates

The University recognises that their people are the most important asset and whether you are on a short-term sickness cover, longer term cover supporting departments or specific project-based roles on a temporary or fixed term basis you will be made to feel part of the University ‘family.’

Registering with GEM could not be simpler and with our online registration platform this can be done from the comfort of your home. We will discuss the individual roles available matching your specific skills and experience.

Starting a new job can be a daunting experience and we will be there to support you through the process from registration, interview and selection process and throughout your assignment. Offering weekly ‘surgeries’ and round the clock support via phone and e-mail, GEM Partnership are here to support you with every aspect of your role.

Payroll Process:

  • You will be sent the candidate app to download when sent your assignment confirmation
  • Select the timesheet option
  • Your name and the week commencing date should be clearly stated
  • Ensure your line manager is available to approve and add their name and email address. If they are annual leave, please ensure that an alternative approver is added
  • Once submitted this will then go to the designated manager for approval
  • This must be completed by 10am Monday morning of the following week at the latest.
  • Your wages are paid one week in arrears on a Friday directly into your bank account.
  • Your payslip is e-mailed to the e-mail address you provided at registration and you should receive this on a Friday.
  • If you have any queries in regards to your tax or NI contributions, please contact the tax office directly on 0300 200 33 00.

Holiday Process:

  • Holidays are accrued as you work in your assignment.
  • To request holidays you should check with Rebecca Karter prior to booking any holidays to ensure that you have enough accrued to cover the required days.
  • Once it is confirmed you have enough holiday accrued you should then request the holidays from your Durham University Line Manager – all holidays must be approved by your Line Manager.
  • Clearly state the approved holiday hours on your timesheet for the appropriate week.
  • All Bank Holidays need to be requested as a holiday, otherwise they will not be paid.
